1. Introduction

SANA - Med in China ("SANA," "we," "us," or "our") is committed to protecting the privacy and security of clients who use our website, consultation, medical concierge, and cross-border care coordination services. We understand that medical records and health information are highly sensitive. This Privacy Policy explains how we collect, use, share, store, and protect the personal and health information you provide when seeking information, consultation support, hospital matching, second opinions, treatment planning, or medical travel coordination in China.

2. Information We Collect

To assess your request and coordinate appropriate services, we may ask you to provide information such as:

  • Personal information: name, age, gender, nationality, contact details, preferred language, travel-related information, and emergency contact information.
  • Medical information: past medical history, current diagnosis, symptoms, imaging files such as CT, MRI, X-ray, ultrasound, or PET-CT, laboratory test results, pathology reports, medication lists, treatment history, discharge summaries, and other medical records you choose to provide.
  • Service information: preferred hospitals, budget range, timing, requested services, consultation notes, communication history, and administrative information needed to arrange appointments or care coordination.
  • Website and communication information: form submissions, email or messaging records, device and usage information, and other data generated when you interact with our website or online services.

3. How We Use Your Information

We collect and use your information only for purposes connected with the services you request, including:

  • Clinical triage support: organizing, translating, and summarizing your condition and medical records for review by appropriate medical teams.
  • Specialist and hospital matching: identifying hospitals, departments, doctors, or service pathways in China that may be suitable for your case.
  • Consultation arrangement: coordinating remote consultations, in-person appointments, second opinions, examinations, treatment planning, admission preparation, and follow-up communication.
  • Travel and concierge coordination: assisting with non-clinical arrangements such as itinerary planning, language support, accommodation, local transportation, and hospital navigation when requested.
  • Service communication: responding to inquiries, sending updates, confirming appointments, and maintaining records of your service request.
  • Compliance and safety: meeting applicable legal, regulatory, security, dispute-resolution, or fraud-prevention obligations.

4. Information Sharing and Disclosure

We treat your information on a strict need-to-know basis.

  • Medical teams: We may share relevant medical records with specific doctors, hospitals, departments, or medical teams in China when they are involved in reviewing or coordinating your case.
  • Service partners: When needed for requested non-clinical services, we may share limited information with translation, travel, accommodation, transportation, or administrative partners.
  • No sale of medical data: We do not sell, trade, or rent your personal identification information or medical records to third parties for marketing or unrelated purposes.
  • Legal or safety disclosure: We may disclose information if required by law, regulation, court order, government request, or if necessary to protect safety, rights, security, or prevent misuse of our services.

5. Data Security

We use reasonable administrative, technical, and organizational safeguards designed to protect your information during transmission, storage, and handling. Access to sensitive medical records is limited to personnel and partners who need the information to provide the requested service. No method of electronic transmission or storage is completely secure, but we work to reduce risk and protect your information with appropriate care.

6. Data Retention and Deletion

We retain information for as long as reasonably necessary to provide services, maintain service records, comply with legal or contractual obligations, resolve disputes, and support legitimate business operations. If you decide not to proceed with treatment or no longer need our services, you may request deletion of your personal and medical information. We will process deletion requests where legally and operationally possible, subject to records we are required or permitted to retain.

7. Your Choices and Rights

Depending on applicable law and the nature of your request, you may ask us to access, correct, update, restrict, or delete certain personal information. You may also withdraw consent for certain future uses of your information. Please note that withdrawing consent or requesting deletion may limit our ability to continue providing services.

8. International Data Transfers

Because our services involve medical coordination for care in China, your information may be transferred to or reviewed by doctors, hospitals, staff, or service partners located in China or other jurisdictions relevant to your request. By submitting information to us, you understand that such cross-border handling may be necessary to deliver the services you request.

9. Legal Compliance

We aim to handle personal and health information in accordance with applicable privacy and data protection requirements in the jurisdictions relevant to our operations and services. Where specific local rules apply to your information, we will make reasonable efforts to respect those requirements.
